Administrative Assistant

The Department of Audits and Accounts is seeking an Administrative Assistant for our Atlanta office. This position will primarily work with the Administrative Division supporting internal operations. There may be occasions in which this position provides administrative support to our business units.  The duties of this position are predominantly performed in person in the Department’s main office. This position provides broad exposure to various duties and is an opportunity for gaining valuable experience that fosters career growth.

Hiring range: $45,000-$52,000

Responsibilities

  • Performs data entry for standard Department reports or other documents and creates new reports as requested by Director and other Division or Department personnel.
  • Assists with the preparation of correspondence, memoranda, labels, and a variety of other documents for Division staff; opens and processes mail and assists with mailings and deliveries; makes copies of documents and distributes and files documents as required.
  • Assists with payroll related activities each pay period as directed. This includes but is not limited to tracking information related to benefits and retirement.
  • Completes daily review and recording of travel reimbursement statements.
  • Works with Admin staff and other employees as needed to request user access to various systems used by the Department.
  • Screens telephone calls, answers questions and/or directs callers to appropriate sources; takes and delivers messages in a timely manner.
  • Greets office visitors and helps with visitors’ needs, as appropriate.
  • Assists with procurement related activities, which includes but is not limited to entering purchase requisitions, and monitoring and ordering office supplies.
  • Assists with entering facility related requests, including but not limited to facilitating requests with the Georgia Building Authority.
  • Assists with other assigned administrative tasks as requested by Director of Administration.

Requirements

  • Advanced skill in Word and Excel
  • Excellent organizational skills and time management skills
  • Excellent communication and interpersonal skills
  • Attention to detail

Preferred Requirements

  • Associate degree in business administration or related field, or 2-3 years of related experience
  • Experience working with charts/graphs within reports
  • General knowledge of TeamWorks HCM
