The Department of Audits and Accounts (DOAA) is seeking an Administrative Specialist I to provide essential, entry-level administrative and operational support across various Department functions. This role is crucial for maintaining efficient daily office operations and providing logistical support. Work is performed under close supervision.

Responsibilities

Administrative and Operational Support. Responsibilities will focus on ensuring smooth and efficient daily office operations:

  • General Office Management:
    • Serve as the first point of contact, backup for the main phone line, and directing calls appropriately.
    • Handle all incoming and outgoing mail and deliveries, ensuring prompt distribution.
    • Manage office supplies, including restocking Atlanta Office suites and coordinating with the accounting team for timely reorders.
  • Records and Asset Management:
    • Assist with Department records maintenance in compliance with State retention policies.
    • Ensure official records are transmitted to State Archives promptly.
    • Assist with the surplus of DOAA property that is no longer in use.
  • Facilities Coordination:
    • Support facilities management duties, including coordinating with GBA for necessary maintenance and repairs.
  • General Administrative Assistance:
    • Provide various administrative support activities for different DOAA functions as requested.

Report Preparation and Word Processing Responsibilities will also include learning and assisting with the final preparation and quality control of audit reports:

  • Learn to prepare final report manuscripts and related documents from audit staff drafts, ensuring compliance with approved formats.
  • Proofread manuscripts thoroughly, checking and correcting grammar, format, spelling, and basic mathematical figures.
  • Assist with the finalization, distribution, and uploading of reports onto the Department’s website.
  • Prepare and distribute regular reports and updates on a scheduled basis.

Requirements

Minimum Requirements

  • Education – Completion of a high school diploma or equivalent.
  • Experience – Six months of experience performing administrative support functions in a professional office setting.

Preferred Qualifications

  • Education – Associate degree in business or a related field.

  • Administrative & Office Skills – General knowledge of current office practices, procedures, and professional office etiquette.
  • Technical Proficiency – Proficiency in operating a computer, including Microsoft Office Suite.
  • Communication – Strong written and verbal communication and interpersonal relations skills.
  • Organizational – Proven ability to manage workload, prioritize tasks effectively, and meet deadlines.
  • Attention to Detail – Demonstrated ability to ensure accuracy and minimize errors in all tasks.
  • Word Processing – Skill in typing and word processing with speed and accuracy, and general knowledge of software used to prepare manuscripts.
  • Basic Math – Skill in performing basic mathematical calculations.
